Deliveries

Incoming

Items arrive at the mail room, (by courier, post, staff, hand delivery, etc). The item is logged into the system (date and time stamped), the courier and service level is recorded, any special remarks noted (eg damaged box) etc.

The recipient is logged and either scanning the existing barcode on the package or using OmniPost to generate a barcode, the item gets 'booked in'. An email notification of received items can be automatically sent to the recipient letting them know that an item has arrived and will be delivered, or available for collection.

At the point the item is delivered, using a mobile computer (PDA), the item is scanned at the delivery point location (room, floor, building, office or even staff ID Badge) and a signature and name can be captured. The status of the item is then 'delivered'.

Collections

Incoming

Items can be collected from individuals, departments, other mail rooms: assuming the items are pre-labeled the items are scanned and taken back to the post room, where more detailed information can be added to the OmniPost application (if not already done so by the sender).

At the point the courier takes the items from the post room, the items are scanned to the driver who signs to say he has collected them. An email notification can be sent to sender to confirm that the item has been collected.

If the Courier 'Consignment No' is used as the tracking reference, this can be contained in the email and allows the sender to hyperlink directly to courier website to obtain current status and proof of delivery, (Note: not all couriers provide this option).

Transfers

Non delivered movements

Not all items which arrive in the Post room are ready to be delivered immediately to a recipient.
There are instances where items have to be moved to a stock room, an alternate post room, a reception for collection, or maybe to a delivery van or trolley - or indeed other non recipient locations. Therefore by using the Transfer option, items can be scanned together with scanning (as configured) the transfer location, thereby recording the new location of the item(s).

When viewing the POD (proof of delivery) report, any transfers are recorded and show a complete audit trail of received, moved, delivered.

Damages

Record Package Damage

Identifying an item as damaged is an essential part of the post room functions. If an item is received (from courier or internal collection) in a damaged state; do the post room really want to refuse it? (it could be very important) equally do the post room want to accept it and then be liable for any potential damage?

Using the OmniPost PDA application, simply scan the barcode and take a photo with the PDA. The photo(s) are linked to the item and get uploaded to the item record. When viewing the item proof of delivery document, the photograph is present (together with recording the date and time), thereby proving that the item was not damaged whilst in the care of the post room.
